Sorry Application Letter
You are going to learn how to write a letter to inform an applicant that their application was not successful.
It does not matter whether it is a college application, visa application, or any other type; the format of writing does not change much.
How to write a letter to reject an application

Step one:
Start with the statement. Make sure to note down the application's unique number and the date it was submitted. Express your regret and soft apology.
For example: "We are sorry to inform you that your application number 12345 that you submitted on June 12 was not accepted". -
Step 2:
Continue by explaining to the applicant the reasons leading to the rejection. Contrast the requirements of the application with the qualifications of the applicant clearly showing the gap and the shortage.
For Example: "Your application was not accepted because the minimum number of experience years required for the job are ten and you only have five". -
Step 3:
Explain to the applicant what they need to do exactly to improve the chances of success or just tell them to try again later if there is no specific reason.
Let us put all this knowledge together into a specific example. The following example is for a "job application letter" but feel free to modify it for any other situation.

We regret to inform you that your job application for the "Accountant" position at Apple Inc. was not successful due to the fact that the vacancy has already been filled.
